W H A T C A N G I P S I D O F O R Y O U ?
The LDS Family History Library in Salt Lake City and Branch
Family History Centers now offer computer access to very useful
databases. Each computer is equipped with a copy of the IGI
(International Genealogical Index) and the SSDI (Social Security
Index Database) on compact disc (CD). The user is permitted to
select specific IGI or SSDI records and save them on a diskette.
These records can be saved in one of three formats:
1. Text (ASCII) File
2. GEDCOM 2.0
3. GEDCOM 2.1
The text files are simply a copy of the information that
would have been printed on paper if the user had chosen to do so.
It is formatted just as it would be printed and is, therefore,
not in a format that is compatible with any other computer
programs except for word processors or text editors. Its chief
advantage appears to be the ability to store the information in a
smaller space because the diskette is smaller than a stack of
paper. GIPSI(tm) does not convert these text files.

When the user saves information from the Family History
Center computer (in GEDCOM 2.1 format), it would be possible to
load these files into PAF. Unfortunately, this does not produce
a database that is useful for genealogical RESEARCH. It produces
many families with only two generations and with many duplicates.
In addition, great care must be exercised to avoid having all
these duplicate families added to the existing PAF database--
something that is probably not desired.
A more useful way to use these GEDCOM 2.1 files would be to
create a database that could be accessed by the user's database
management program. Examples of such programs are dBase II,
dBase III, dBase IV, PC-File, Reflex, DataPerfect, Paradox, etc.
In fact, Research Data Filer that comes packaged with PAF is such
a database management program. If the information saved in the
GEDCOM 2.1 files could be put into formats that could be read by
one of these programs, it would allow the following activities:

1. Obtain all records from a particular city or parish,
2. All events occurring between two dates,
3. All children born to a given set of parents,
4. Sort records chronologically,
5. etc.
It would even be possible to search for all children born
between 1781 and 1805 that have parents with the surname of
Jones, a given name beginning with "Ge", and were born in Bolton,
Lancashire, England. This is only an example of the types of
searches that can be performed when the names are in a database
that is accessible by a powerful database management program.
Some users of GIPSI(tm) have constructed databases with
thousands of names in them. With the ability to sort and search
through these thousands of names, the database becomes a powerful
research aid.
WARNING: GEDCOM files created from the IGI or SSDI have a
particular format that is unlike most GEDCOM
files. GIPSI(tm) relies on this format to
generate the files quickly and without using much
memory. Any files that are not created from the
IGI or SSDI (GEDCOM 2.1) will most likely produce
incorrect output. To process these files, please
see ordering information for GIPSI Plus(tm).

***** BACK-UPS *****
The user should keep a backup of the ORIGINAL ".ZIP" or
".EXE" file of GIPSI(tm) on a separate disk. This way the user
will still have GIPSI(tm) in the event of a hard-drive crash or a
"zapped" disk.
***** DISTRIBUTING COPIES OF GIPSI(tm) *****
The user is free to distribute copies of GIPSI(tm) to
friends or BBS's. However, only COMPLETE, UNREGISTERED copies
should be distributed. A complete copy should include GIPSI.EXE,
GIPSIIGI.EXE, GIPSISSD.EXE, REGISTER.EXE, GIPSI.DOC, and
GIPSI.ORD.

R E G I S T R A T I O N
The development of the GIPSI(tm) system took many hours.
The user is allowed to distribute copies of GIPSI(tm) to others,
but in fairness, each user is expected to register with :

The cost is $25 if the author does not have to mail
diskettes to the user. If the user does not have a copy of
GIPSI(tm) and would like Research Services to send one, an
additional $10 is required for a total of $35.
***** REGISTRATION BENEFITS *****
A registered user will be given a user identification number
which may be used with REGISTER.EXE to personalize his copy of
GIPSI.EXE. In addition, registration allows the user to access
the "Fast GO" option (see Command-line Parameters). Finally,
registered users will be notified of new improvements to
GIPSI(tm) or of the development of new genealogical utilities.

***** GIPSI Plus(tm) *****
A new, commercial version of GIPSI(tm) called GIPSI Plus(tm)
is now available. It contains many new and powerful features not
found in this shareware version of GIPSI(tm). These features
include:
Ability to split location fields into four separate fields
(useful for locality searches in databases).
GIPSI Plus(tm) may convert large GEDCOM files that are split
over a series of several disks.
Converts GEDCOM files obtained from the Military Index found
in FamilySearch(tm).
Converts "generic" GEDCOM files from Ancestral File, PAF,
Roots III, or almost any genealogical program that utilizes
the GEDCOM format.
To order GIPSI Plus(tm), send a check for $45* to Research
Services. Registered users of GIPSI(tm) version 1.0 or 2.x may
order GIPSI Plus(tm) for $20.

U S I N G G I P S I
***** POP-UP MENUS *****
GIPSI(tm) takes advantage of powerful windows and pop-up
menus.
To use the pop-up menus, simply use the cursor keys to move the
selection bar (black on grey writing) to the desired item. Then
press ENTER to accept the selection or ESC to exit the menu.
Alternatively, by pressing the first letter of the item you want,
the item is automatically selected.
The pop-up menus can also be controlled by a mouse as well.
By pressing the left mouse button once, the selection bar moves
to the item under the mouse cursor. By pressing the left button
a second time, the item under the mouse cursor is accepted. This
is the same as pressing ENTER. Pressing the right button is the
same as pressing ESC.

***** ENTRY SCREENS *****
GIPSI(tm) uses special "entry screens" to allow the user to
have as much or little control as he wants. An entry screen is a
window with blanks or "fields" which the user may change. The
user may move between editing fields with the mouse or cursor
keys and press a key when done. The commands are identical to
those of the pop-up menus.
***** COMMAND-LINE PARAMETERS *****
GIPSI(tm) will accept special command-line parameters to
toggle options. To use the parameters type at the DOS prompt:
GIPSI [parameters]
The following are valid parameters for GIPSI(tm):
/COLOR Force a color display.
/MONO Force a monochrome display (useful for
laptop computers and LCD displays).
/C=[filename] Specifies name and path of the
configuration file to use. (Default =
"GIPSI.CFG")
/GO Fast Processing option for registered
users only. This will skip all menus
and entry screens and begin processing
using the values set in the
configuration file.

***** RUNNING MODULES *****
GIPSI(tm) is now split into 3 separate executable files.
GIPSI.EXE, GIPSIIGI.EXE, and GIPSISSD.EXE. The user should only
run GIPSI.EXE. This program is like a "shell" which runs the
other two programs by itself. If all three files are on the same
disk and directory, there should be no difficulty. However, if
the files are separated (as may be on a floppy drive system),
GIPSI(tm) will ask the user to swap disks when needed.
***** REGISTERING GIPSI(tm) *****
After paying the registration fee to Research Services, the
user will receive a user number that corresponds with the user's
name. To register a copy of GIPSI(tm), type REGISTER from the
DOS prompt.
The user will be prompted for his/her user number. The user
must ENTER IT EXACTLY AS IT IS GIVEN. The user will then be
prompted to enter his name.
If the number and name correspond, a message will appear
indicating that the registration process was successful.

***** SELECTING FILES TO BE CONVERTED *****
When GIPSI(tm) is executed an entry screen will appear.
This entry screen, referred to as the "Files" entry screen,
contains the following fields:
"Input File(s)"
"Output Type"
"Output Path"
When the cursor is on the "Input Files" field, he may
specify which file(s) to convert. He may enter a complete
filename, such as "A:\BOOTH1.GED", or a wildcard mask such as,
"A:\*.GED". If a wildcard mask is entered and the ENTER key is
pressed, a disk directory will pop-up. The user may scroll
through the directory and press ENTER on the filename he wishes
to convert.

When the cursor is on the "Output Type" field, he may choose
the type of file(s) to be created. A menu will pop-up with the
following choices:
dBase <.DBF>
Research Data Filer <.DAT>
Formatted Text <.TXT>
Delimited Text <.TXT>
Lotus 1-2-3 <.WKS>
The user may use this just like a regular pick-menu and
select the type of file to which he would like to convert.
When the cursor is on the "Output Path" field, he may
specify the drive and directory on which to place the converted
GEDCOM files. A full filename may be entered, but ONLY THE PATH
WILL BE USED. For example, to place the converted files on the
"C:" drive in a subdirectory called "\IGI" enter "C:\IGI" as the
Output Path.
***** CONVERTING MANY FILES AT ONCE *****
GIPSI(tm) has the ability to convert many files
automatically in one session. To do this, while at the "Input
File(s)" field, enter "*.GED" and then the DOWN ARROW. Using
this option will save the user time if he is converting a
diskfull of GEDCOM files.
C O N F I G U R I N G G I P S I
To configure GIPSI(tm), the user should press F5 from the
"Files" entry screen. The user should press F4 when finished
configuring GIPSI(tm).
***** HEADERS *****
If you are converting to a "Formatted Text", "Delimited
Text", or "Lotus 1-2-3" file, you have the option of creating
headers. To create headers, the user should type "Y" on the "Do
you want Headers?" field.
A header is a "dummy" record that comes at the beginning of
a file. Each field in a header contains its name.

As an example, consider creating a file with only three
fields; surname, given name, and sex. If the user is creating a
Delimited Text file with a header, a field delimiter of "@", and
a record delimiter of "^" then the file would look like this:

An example of a header on a formatted text of Lotus 1-2-3
file would look like this:

***** DUPLICATE MARRIAGE RECORDS FROM IGI *****
GIPSI(tm) gives the user the option of making a separate
duplicate record for the spouse in a marriage (this option only
applies to IGI records). To do this, the user should type "Y" on
the "Create a duplicate record for spouses?" field.
For example, if the user chooses to create duplicate
records, an IGI record of:
NAME SEX TYPE DATE SPOUSE
JONES, John M M 12 MAY 1734 TALLY, Tilly
would also create a record:
TALLY, Tilly F M 12 MAY 1734 JONES, John
This is useful for large IGI libraries where many family
names are being stored.
***** DELIMITERS *****
Delimiters are identification strings to tell the computer
when to move to the next field or record. GIPSI(tm) can write a
delimited text file using delimiters established by the user. To
do this, the user should enter the desired delimiters in the
"Field Delimiter" and "Record Delimiter" fields.

NOTE : To enter a control-character, such as a ^R and ^E,
the user should press Ctrl-P and then the control-character he
wants.
***** SELECTING FIELDS TO BE USED *****
GIPSI(tm) will allow the user to decide which fields to
write to a file. For example, research uses may not require LDS
temple ordinances. The user would enter an "N" in the "Want
Field" fields associated with the field names. If the field is
desired, the user should enter a "Y".
***** FIELD WIDTHS AND SPACING *****
GIPSI(tm) allows the user to specify the widths of the
fields. To do this, the user should enter the desired width
(between 1 and 255) on the "Field Width" field associated with
the field name. Notice that if the information in the field is
longer than the specified field width that it will cut off the
excess data.
Spacing is important when making a Formatted Text File. It
specifies the number of spaces between the field and the next
field. To designate the values, the user should enter the number
of spaces (between 0 and 255) in the "Field Gap" field associated
with the field name.
***** SAVING AND LOADING CONFIGURATIONS *****
To load another configuration file, the user should press
F3. A window will pop up prompting the user for the name of the
configuration file to load. The user must then type the file's
path and name and press ENTER. To quit without loading, the user
should press ESC.
To save the current configuration file, the user should
press F2. A window will pop up prompting for the name of the
configuration file to save. The user must type the file's path
and name and press ENTER. To quit without saving, the user
should press ESC.

After the user is finished configuring GIPSI(tm), he may
start the conversions by pressing F4 from the Files entry screen.
A window will pop up and GIPSI(tm) will begin converting the
first file. Statistics such as the number of lines processed,
the number of individuals processed, and the percent complete
will be displayed. Press ESC to stop processing the file.
G I P S I O U T P U T F I L E T Y P E S
***** DBASE *****
A dBase file is the file format used by dBase III from
Ashton-Tate. It has become a standard format in databases so it
can be directly or indirectly used with many databases and
spreadsheets.
The dBase file has FIXED FIELD widths, meaning that
information will be cut off if it exceeds the specified field
width.
Many database management programs use either the dBase data
format (.DBF file name extension) as the main file format, or
they can read these files directly or through a conversion
program included when you purchase the database management
software. Among the programs that can read these files are:
dBase III, FoxBase + 2.x, Database in PC Tools Deluxe 5.x, and
Reflex. There are many others.
Many spreadsheets can also read .DBF files. For instance,
Lotus 1-2-3 has a conversion program that permits conversion of
.DBF files to .WKS files. Quattro, from Borland International,
can both read and write .DBF files without prior translation.
However, GIPSI(tm) can convert to Lotus 1-2-3 .WKS files which
are compatible with most spreadsheets, as well.
***** RESEARCH DATA FILER *****
An RDF file is for use with the Research Data Filer included
with PAF. Since this is a specific format, the only option you
will have is for duplicate marriage records.

NOTE : When converting an SSDI file, two records are created
for each individual. One contains birth information while
the other contains death information. Both given the same
ID number.
***** FORMATTED TEXT *****
Formatted Text may be loaded into most databases and
spreadsheets by either specifying columns or by parsing.
It is important that the field widths and gaps be specified
for this file.
There are two basic uses for these files. First, these
files can be read by many database management programs and almost
all spreadsheets. It is almost a universal format for data
transfer, but is quite primitive. It can be read by text editors
and word processors, and even by large mainframe computers. The
structure of each field is dependent upon its position in the
record.
The second, and very important, use of this format is to
produce a file that can be printed directly from the file from
the DOS prompt. This is accomplished by entering
"COPY filename.TXT LPT1:"
The files can also be printed from any word processor.
***** DELIMITED TEXT *****
Delimited Text is a format for a Text (ASCII) file. It can
be directly or indirectly loaded into most databases and some
spreadsheets without difficulty. In addition, Delimited Text is
usually more compact than the other formats.
Please see the section on Configuring Delimiters for more
information.
Delimited text files can be read by several database
management programs. For example, SSI Data, DataPerfect, and
Office Notebook from WordPerfect Corporation will accept this
format in addition to others.

GIPSI(tm).
2. Move to the "Field Delimiter" field.

7. Press Ctrl-E.
***** LOTUS 1-2-3 *****
Lotus 1-2-3 (WKS) files are perhaps the best format to use--
if they match your database program. They can be read into most
spreadsheets and databases just as dBase files can. However,
they are NOT FIXED LENGTH. They contain the FULL INFORMATION of
each field without cutting it off. They, like the delimited
files, are usually more compact than files in the other formats.
